Hygeia Media Proposal Submission Guidelines

Hygeia Media is an imprint of the Oncology Nursing Society providing health and wellness resources for patients and those who care for them. We're glad you are considering Hygeia Media as a potential publisher for your book.  The following information will provide some guidelines for you to use in preparing proposals for consideration for publication and for preparing manuscripts for submission to Hygeia Media.

Proposal Submission

When approaching Hygeia Media with your book idea, you should submit the following:

  • A summary of the important information you want the publisher to know about your book. It should include at least the following information.
    1. Brief description of the book, including your goal for writing the book and how it will benefit patients and/or caregivers.
    2. Table of contents of the book. This should include a detailed description and outline of the contents to be included in each chapter and an approximate page count for each chapter.
    3. The number of manuscript pages that you anticipate for the completed work.
    4. The estimated time for completion of the entire manuscript.
    5. Identification of the primary and secondary audiences for the book.
    6. Your qualifications as author and the names and qualifications of any coauthors you plan to use in writing this book.
    7. The titles, authors, publishers, dates of publication, and prices of books that may be in direct competition. Also include your ideas on how to promote the book to the intended audiences.
  • At least two completed sample chapters, printed double-spaced.

Once we have received your proposal materials, a review panel will evaluate it to determine if it is suitable for publication by Hygeia Media. You will be notified of our decision regarding your proposal submission.

Manuscript Preparation and Submission

If your manuscript is accepted for publication by Hygeia Media, we will develop a contract and production timeline, which will include editing, design, proofreading, indexing (if needed), and printing. You will need to submit the complete manuscript by the deadline indicated in the contract. The manuscript file should be typed double-spaced, with 1-inch margins, using standard word-processing software. Do not double-space after periods. Number pages consecutively within each chapter and include the file name in the header of the document. Adhere to the original number of pages indicated in the prospectus and your contract. Submit a printout of the entire manuscript as well as the electronic manuscript files saved on a CD, DVD, or USB flash memory device.

Permissions

Obtaining permission for use of copyrighted material, including your own previously published work, is your responsibility, as are any fees charged by the copyright owner. Contact the copyright holder to request permission to reprint or adapt. Consult the publisher's Web site to determine their preferred method for submitting permission requests (e.g., online form, e-mail or fax request).

Photographs, Figures, and Tables

Photographs submitted for inclusion in the book should be original, glossy prints or high-resolution digital image files. Figures should be camera ready (photocopies are not acceptable) or provided in a high-resolution electronic graphics file format. If a photograph, figure, or table has been printed elsewhere, you must obtain permission to reprint. If a person can be identified in a photograph, the subject or guardian must sign a form granting permission.

References

Hygeia Media uses the reference style of the Publication Manual of the American Psychological Association (6th edition) (2009). If you feel that references are essential to use in your book, you can contact us regarding examples of proper formatting.

Index

If an index is to be included in your book, it can be created by you, or Hygeia Media can have it created by a professional indexer. The decision will be made at the time of the signing of your contract.

Publication Process

Once your manuscript has been submitted to Hygeia Media for processing, several things will occur. First, the manuscript will undergo review to ensure that all requirements have been met.

A copy editor will edit the manuscript. Changes will be made to the manuscript for clarity and style. The edited text will be sent to the primary author for approval and may include questions to you. The edited manuscript must be reviewed very carefully, and all questions must be answered at this time. This is the time to make any necessary changes to the manuscript. Once the manuscript enters the layout phase, changes are more difficult to make and become more costly.

Once all author corrections have been received and incorporated, the manuscript will go into layout. Once the pages are designed, you will have an opportunity to review the page proofs. This will be the last time you see the manuscript before it goes to the printer. Review it very carefully for any errors. You will receive specific instructions for your review when the copy is sent to you. At this point in the process, time is of the essence. You must return the copy to Hygeia Media according to the instructions included. Following approval of the page proofs, cover design options will be sent to you for review.

When we have received your page proof corrections, we will incorporate the changes and complete the final proofreading. If an index is to be included, it is generated at this point. The book is then ready to send to print.

Marketing and Distribution

Hygeia Media's professional marketing staff will work with distributors to sell your book through traditional retail booksellers and online vendors. In addition, the Oncology Nursing Society promotes and sells Hygeia Media publications through its catalog and Web site. Our marketing and public relations staff will work with you to promote your book.
