List Rental Information

Q:How much does the mailing list cost?
A. Cost for the mailing list for Non-Profit and Commercial Licensing Agreements is based on the number of labels/records being obtained. (Minimum order is 1000) Please see the breakdowns below.

Commercial Licensing Agreement requests:
Regular Commercial Rate (non-advertiser/non-exhibitor) = $500/thousand labels/records + $50 set-up fee + shipping (if applicable) Note: Entire mailing list must be purchased, no breakdowns.

Reduced Commercial Rate (advertisers/exhibitors) = $250/thousand labels/records + $50 set-up fee + shipping (if applicable)

Non-Profit Licensing Agreement requests:
Non-Profit Rate = $50/thousand labels/records + processing fee ($100 for non-members/$25 for ONS members [Membership ID must be provided to obtain member rate]) + $15 set-up fee + shipping (if applicable) Note: In order to qualify for the Non-Profit rate, Federal Non-Profit Tax ID MUST be included on the licensing agreement.

There is no charge for e-mailing an ASCII text file in the place of shipping pressure sensitive labels or a diskette. Shipping cost is dependent upon method of shipping and weight of package.

Simple equation to figure the cost of the list (Note that this does not include any processing fees or set-up fees):

(# of records/labels) X (Cost of records/labels per thousand) / (1,000) = Cost of the list.

Example: 5,379 labels at the Non-profit Rate for a Non-member being e-mailed:

5,379 X 50 / 1,000 = $268.95 is the cost of the list

Cost of List ($268.95) + $100 Processing Fee + $15 Set-up fee

Grand total for this order: $383.95

Available Demographic Selects are made available for viewing and download to obtain recent approximate counts for use in approximating cost of list rental. Specific counts can be obtained by submitting a request in writing with criteria desired via e-mail (marketing@ons.org.) or fax (412-859-6164).

Q. What is the blackout period?
A. ONS has instituted a 60-Day Black Out Period. Any such mailings that promote a non-chapter supported, national conference* with an event date during any of the following time frames (30 days prior to or following an ONS conference):

October 14, 2008 – December 16, 2008
March 30, 2009 – June 3, 2009

*National conference is defined as any conference/symposium/continuing education opportunity that seeks attendees from more than a 100-mile radius from the list buyer's conference site.

Q: What information is included on the mailing label/in the data record?
A:
ONS will provide member names and preferred mailing addresses. The preferred mailing address is the address members specify upon joining/renewing their membership. It may be their home address or their work address, depending on their specified preference. ONS does not provide, under any circumstances, member phone, fax, or e-mail information. Please note that not all ONS members allow for their address information to be sold.

Q: If I request my list rental in ASCII text format (electronic), am I still required to pay for "labels"?
A:
Yes. An ASCII text file contains the same information as printed labels; thus, you must still pay for their usage. A major benefit of obtaining your lists in ASCII text format is the ability for ONS to email your order to you, thus saving both time and additional shipping costs. You must destroy all electronic files containing the mailing list after approved use.

Q: What is the difference between pressure sensitive labels and ASCII text format?
A:
Pressure sensitive labels are peel-and-stick labels. ASCII test format is a comma-delimited text file in electronic format that can be used by mailhouses to print addresses (a process known as ink jetting) directly onto the mailpiece. When working with a mailhouse to send your mailing, ONS recommends this format. You will save additional mailhouse costs associated with the manual labor required to "peel and stick" each pressure-sensitive label. Please contact your mailhouse for more information and quantity requirements.

Q: What does the phrase "mail piece" mean?
A:
A mail piece is the actual item that will be mailed to individuals in the list you are renting. Examples include brochures, catalogs, postcards, pamphlets, and letters. Please be advised that a sample of all mail pieces must be submitted for approval before any list rental requests are approved and fulfilled.

Q: What is the normal processing/"turn around" time for list rental orders?
A:
Normal turn around time for the processing and fulfillment of an order (once all information is accurately submitted) is 5 to 10 business days. Orders are processed on a first-come, first-served basis.

Q: What information is required to have an order processed?
A:
There are four mandatory items that must be submitted before an order is processed:

  1. Mailing List Order Form
  2. Mailing List License Agreement (Commercial or Non-Profit)
  3. Sample of the intended mail piece
  4. Payment information (payments made by check must accompany your request)

These items must be submitted together to the ONS Marketing Assistant before processing will begin.

Q: What forms of payment are accepted?
A:
ONS accepts the following payment methods:

  1. Purchase Order
  2. Major Credit Card (VISA, MasterCard, American Express or Discover)
  3. Personal/Company Check (payable to Oncology Nursing Society). Note that if paying by check, payment must accompany your request.

Q: How do I request preliminary counts for specific demographic/geographic selects?
A:
You can submit a faxed or emailed request with the specific demographic/geographic selects you are interested in to the ONS Marketing Team or fax to (412) 859-6164. Preliminary counts will be provided, usually within 24 hours.
