PRIVACY STATEMENT

The Oncology Nursing Society ("ONS") respects the privacy needs and concerns of its customers. That is why protecting any personal information, such as your name, address, email address or phone number ("Personal Information") that a customer provides in connection with this website is important to us. We respect your privacy in handling Personal Information relating to you and your transactions with us, the ONS Foundation, the Oncology Nursing Certification Corporation (ONCC), and ONSEdge (together, "Affiliated Organizations"), through ONS and any Affiliated Organizations' websites (together, "Sites"). This Privacy Statement describes the Personal Information we gather about you, what we do with it, the safeguards we have in place to protect it, and how you can control our use of it. By using the Sites, the user agrees, without limitation or qualification, to be bound by this Privacy Statement.

When you provide Personal Information on the Sites, you are consenting to the manner in which ONS will collect, use, disclose and otherwise manage your Personal Information, as set out below.

Who May Use the Sites: The Sites are not intended or designed to attract those under the age of 18. We do not collect personally identifiable data from any person we know to be under the age of 18 and instruct children under 18 not to send us any information.

The Sites are designed for users from the United States. Users from other countries are advised not to disclose personal information to us unless they consent to having their information used as set forth in this Privacy Statement rather than under the law of user's home country. You transmit data to servers located in Pennsylvania, in the United States and subject to United States law. You should not send any personal information to the Sites unless you agree to be bound by this privacy statement and by United States and Pennsylvania law.

Collection and Use of Personal Information:

The Sites provide various opportunities for customers to share Personal Information. Some examples include communicating via SIG Discussion Forums, membership directories, event registration, and requesting subscriptions to electronic newsletters.

We may collect Personal Information that you provide us when you utilize our Sites' functions including the following:
  • Purchase, order, return, exchange or request certain information about our membership, products and services;
  • Participate in an advisory panel, mentoring program, steering committee, act as a journal article editor or any other activity or project sponsored by ONS;
  • Visit or register with our Sites or participate in another feature of our Sites, such as our virtual communities
  • Respond to one of our surveys; or
  • Provide us with comments or suggestions.

We may also collect Personal Information about you from our Service Providers such as web hosters. ONS may provide information or provide access to Personal Information to any of our Affiliated Organizations.

Purchasing Membership, Products & Services at ONS: When you purchase products and services, including memberships, journal subscriptions and symposia registrations via mailing in a check or using a credit or debit card for any of your purchases online, via phone or mail, we will collect your credit or debit card information and keep a history of your purchases. In addition, you may be asked for Personal Information that identifies you, with additional information deemed necessary to contact you about the transaction. We use this information to process your orders and to assist you when you order from us again.

When you return items or request a refund or exchange, you may be asked to give your name, address, phone number and show information that identifies you in order to help prevent fraud.

Site Registration: Registration is an optional service provided by our Sites. You do not have to register to browse certain pages but you do need to register for access to certain parts of our Sites including the Special Interest Groups (SIGs) and to access our services online. When you register, you are asked for information such as your name, address, phone number, e-mail address, a user name and password that you select and your credentials. Your registration information may be used to help make your online experience quicker and easier, by pre-filling certain parts of your purchase information.

Surveys: When you ask a question or participate in a survey via web, mail or via phone, we may collect your name, address, phone number and e-mail address. We use this information to monitor participation.

Other Uses of Personal Information: ONS also uses Personal Information, including information provided to us from our Service Providers, to continually assess and improve the products and services we offer. To serve you better, we may combine Personal Information that you give us on our Sites or via phone or mail with publicly available information and information we receive from or cross-reference with our marketing partners and others. We use that combined information to enhance and personalize your experience with us, to communicate with you about services and events that may be of interest to you, and for other informational purposes.

ONS rents mailing lists to companies and organizations seeking to reach ONS customers with information related to oncology nursing, cancer care and other healthcare issues. ONS provides customer names and preferred addresses (home or work as specified by each individual customer) to list renters that may be used only for a mail piece approved by ONS. Phone numbers, fax numbers and e-mail addresses are not made available for purchase or rental. ONS customers have the ability to opt out of such mailings, resulting in such customer's name and address not being included in mailing list rentals by visiting http://profile.ons.org or by contacting ONS at customer.service@ons.org or 125 Enterprise Drive Pittsburgh PA 15275 Attention: Customer Service.

ONS includes a personally identifiable barcode on attendee badges at national conferences. By scanning a badge at an exhibitor booth, session, registration, satellite symposia, or other location, an attendee agrees to release Personally Identifiable Information, including demographics, name, business address (or preferred address if business address is not available), credentials, email address, business phone number, and fax number. Such information has been released by the customer who uses a bar code badge. Customer is informed of this use at meeting sign up. ONS maintains no further obligation regarding further use of the personally identifiable information.

ONS may offer meeting attendees the opportunity to obtain a roster of meeting attendees. Meeting rosters will contain attendee names and email addresses. If customer has not opted out of the ONS membership directory, customer's name and email address will be included on meeting rosters provided to attendees.

The Sites provide multiple opportunities for customers to share personally identifiable information. Some examples include SIG Discussion Forums, membership directories, event registration, and opting-in to electronic newsletters. All personally identifiable information collected by the Sites are subject to the terms of the Privacy Statement and the Terms of Use contained on each website.

ONS occasionally publishes customer information via electronic and printed materials. Some examples include listings of Board of Directors, editorial contacts, and membership directories. Any published customer information shall be limited to the customer's name, credentials, email address, city, state, and country.

Personal Information collected is cross-referenced with demographic information supplied by customers to ONS. ONS uses this information to generate demographic summaries that are disclosed in summary form only to third-party development partners and industry supporters for the express purpose of evaluating funding opportunities and membership services. These summaries contain non-identifiable aggregated information.

Access to Personal Information by Companies that Work with ONS: Some of ONS operations may be managed by unaffiliated companies. These companies may have access to a customer to perform their functions. ONS will require these companies to agree that they will not have the right to use customer information other than to provide services for ONS.

Other Uses—Legal Proceedings: In the event that ONS or some of its assets are sold or transferred or used as security, customer information may be transferred to third parties as part of that transaction. ONS may also provide information or provide access to information to Affiliated Organizations or to ONS' business partners.

If ONS is requested by law enforcement officials or judicial authorities to provide information on individuals or customers, ONS may, without consent and without notice, provide such information. In matters involving claims of personal or public safety or in litigation where the data is pertinent, ONS may use or disclose personal information without consent or court process. ONS will provide Personal Information in response to a search warrant or other legal inquiry or court order, or to an investigative body or in litigation involving ONS. ONS may also disclose Personal information to assist in debt collection.

Other Uses: ONS may use Personal Information in ways that are not restricted by its policies or legal requirements if ONS determines that the uses are consistent with ONS' nursing and cancer care mission and of the type that our customers would be interested in.

Security: ONS recognizes you may be concerned about the security of your personal information, and we are committed to employing reasonable technology in order to protect the security of our Sites. Even with such technology, no Web site is 100% secure. We will take reasonable measures which we believe are appropriate to protect your information from loss, misuse, alteration or destruction, and, where possible, will ask that any third parties to whom we may transfer your information take comparable steps to protect that security.

If you use the Sites, you are responsible for maintaining the confidentiality of your access information including user name and password and for restricting access to your computer, and you agree to accept responsibility for all activities that occur under your password. ONS will never ask you for your user name or password in any unsolicited communication (including unsolicited correspondence such as letters, phone calls or e-mail messages).

We are the owner of data you supply to us.

Information Sharing-Disclosure Requests: If you are a California resident, you have the right to request one Notice of Information-Sharing Disclosure per year which will identify the third parties with whom ONS has shared the information we have collected from you. You may request the Notice of Information-Sharing Disclosure by contacting ONS at customer.service@ons.org or 125 Enterprise Drive Pittsburgh PA 15275 Attention: Customer Service. We will respond to your request for a Notice of Information-Sharing Disclosure within 30-days.

Visiting Our Sites: In general, you can visit our Sites without telling us who you are or providing us with any information. However, we collect the IP (Internet protocol) addresses of all visitors to our Sites and other related information such as page requests, browser type, operating system and average time spent on our Sites. We use this information to monitor and improve our Sites.

Cookies: Our Sites use a technology called "cookies". A cookie is a tiny element of data that our Sites can send to your browser, which may then be stored on your hard drive so we can recognize you when you return. All pages on our Sites where you are prompted to log in or that are customizable require that you accept cookies. If you have registered with our Sites, these cookies (1) may let us know who you are, (2) are necessary to access your account information (stored on our computers) in order to deliver products and personalized services, and (3) will provide us and our service providers with information that we will use to personalize our Sites in accordance with your preferences. Cookies are also required to optimize your shopping experience in that they allow you to add multiple items to your shopping basket before checking out. You may set your Web browser to notify you when you receive a cookie. However, should you decide not to accept cookies from our Sites, you will limit the functionality we can provide when you visit our Sites.

Our Privacy Statement and Outside Links: This Privacy Statement only applies to our various Sites. Our Sites contain links to other websites outside our control. Please be aware that these websites may collect information about you, and operate according to their own privacy practices which may differ from those contained in our Privacy Statement. Remember to consult each website's own privacy statement, any information you submit to a different website is not in our control.

Privacy Statement Modifications: From time to time we may modify or amend this Privacy Statement in order to comply with new laws or regulations or to reflect future changes in our business practices. Any changes in our policies will be communicated in this page so please check back on occasion.
